About PAM Group

Pertubuhan Akitek Malaysia (PAM) is a professional institute representing 5105 architects nationally with a central headquarters in Bangsar, Kuala Lumpur and five chapters nationally, ie. Northern, Southern, East Coast, Sabah, and Sarawak.

The PAM Group consists of the Institute registered under ROS; the PAM Education Fund — a Tax-exempt Education Fund; 3 wholly owned Sdn Bhd companies (Pusat Binaan Sdn Bhd, Pusat Teknologi PAM Sdn Bhd, Architect Centre Sdn Bhd and GreenBuildingIndex Sdn Bhd, a jointly owned company with ACEM.


Purpose of the Role

The Group Internal Auditor provides independent and objective assurance on the adequacy and effectiveness of financial management, risk management, internal controls, and governance processes across PAM and its subsidiaries. This role ensures that resources are used efficiently, budgets are adhered to, and compliance with statutory, regulatory, and internal policies is maintained.


Key Responsibilities

1. Internal Audit & Control

  • Develop and implement an internal audit plan covering PAM and its subsidiaries.
  • Review financial statements, accounting records, and supporting documents to ensure accuracy and compliance.
  • Assess the adequacy and effectiveness of internal controls, identifying weaknesses and recommending improvements.

2. Financial Oversight

  • Monitor, control, and advise on annual budget spending to ensure alignment with approved financial plans.
  • Review subsidiary financial performance and ensure reporting consistency with PAM’s standards.
  • Verify that funds are properly safeguarded and utilized for approved purposes
  • Review and evaluate quotations from suppliers and vendors to ensure transparency, fairness, and value for money.

3. Risk Management & Compliance

  • Identify financial, operational, and governance risks and recommend mitigation measures.
  • Ensure compliance with statutory and regulatory requirements (e.g., Companies Act, tax laws, audit standards).
  • Ensure internal policies and procedures are consistently applied across PAM and subsidiaries.

4. Governance & Advisory Role

  • Provide independent insights and recommendations to PAM Office Bearers and subsidiary Boards.
  • Advise the Honorary Treasurer on financial governance, budget control, and cash flow management.
  • Support good corporate governance practices across the Institute and subsidiaries.

5. Reporting

  • Report directly to PAM Office Bearers and/or the Board of Directors of subsidiaries on audit findings.
  • Prepare periodic internal audit reports with observations, risks, and recommendations.
  • Ensure timely communication of key audit issues to management for corrective action.

Qualifications & Requirements

  • Degree in Accounting, Finance, or related field.
  • Professional certification (e.g., CPA, ACCA, CIA) preferred.
  • Minimum [5] years of auditing experience, preferably in professional bodies, non-profits, or group structures.
  • Strong knowledge of internal controls, risk management, and financial reporting standards.
  • Excellent analytical, problem-solving, and communication skills.
  • High integrity, independence, and ability to maintain confidentiality.

PAM Secretariat and Finance Officer

Job Scope

1. Primary Minutes Writer

  • Serve as the main minutes’ writer for PAM Council meetings, PAM Leadership Chapter Coordination meetings, Secretariat and Finance Committee meetings, AGMs/EGMs, and other official meetings.
  • Ensure timely, accurate, and professional documentation of meeting proceedings, resolutions, and action points.
  • Maintain a systematic filing and tracking system for all minutes and decisions.

2. Council Documentation & Agenda Coordination

  • Prepare and compile Committees' Council Approval (CA) papers and Council Resolutions (CR).
  • Work closely with the Executive Secretary in coordinating meeting agendas by collecting inputs from Office Bearers and Council.
  • Distribute meeting documents in advance and follow up on submission deadlines.
  • Act as Liaison Officer between PAM Committees and the Council, ensuring that CA and CR items are properly processed, communicated, and presented.

3. IT Transformation Coordination (PIC)

  • Posses a comprehensive understanding of IT systems including hardware, software, networks, and general IT operations.
  • Serve as Person-In-Charge (PIC) for PAM’s IT Transformation initiatives.
  • Coordinate with vendors, consultants, and internal departments to support the planning and implementation of digital systems.
  • Monitor progress, address issues, and assist in reporting developments to the Office Bearers and PAM Council.

4. Confidentiality & Professionalism

  • Uphold the highest standards of discretion, integrity, and professionalism in all dealings.
  • Handle sensitive documents and high-level discussions with strict confidentiality.

Case Counsel for Alternative Dispute Resolution (ADR) Secretariat - Pertubuhan Akitek Malaysia (PAM)

We are looking for an experienced Case Council to oversee the functions of ADR Secretariat:

  • Administer dispute resolution procedures,
  • Maintain case records and documentation,
  • Assist the Appointing Authority in appointing arbitrators/ mediators/ expert determiners/ adjudicators,
  • Administer the trustee of the security deposit paid by the parties,
  • Provide administrative support to dispute resolution processes.

Responsibilities:

  • Manage the administration of dispute resolution (arbitration, adjudication, mediation, expert determination) cases, including the review and due diligence of institutional, regulatory, statutory and legal requirements and financial aspects of the cases,
  • Undertake legal research in the fields of arbitration, adjudication, expert determination and mediation,
  • Liaise with stakeholders, regulators, external solicitors and parties as well as other operating functions and services,
  • Prepare, format, and distribute documents, reports, and correspondence related to ADR proceedings,
  • Maintain and update databases, filing systems, and records pertaining to ADR cases and stakeholders.

Requirements:

  • University degree (LL.B. or equivalent) with specialisation in ADR,
  • Minimum 5 years of Post-Qualification Experience (PQE) with experience related to ADR,
  • Excellent knowledge and command of English and Malay,
  • A confident and mature disposition,
  • Strong communication and inter-personal skills,
  • Attention to detail and accuracy in handling documentation and correspondence,
  • Ability to work independently with minimal supervision and collaborate effectively within a team environment,

Officer for Library Management

Job Scope 

Responsible for managing the Pertubuhan Akitek Malaysia (PAM) Printed & Electronic Resources Units:-

  1. Administering the PAM Printed & Electronic Resources Unit to good running order. This includes planning and goal setting; monitoring and evaluating workflow for quality and quantity of printed and electronic systems and resources.
  2. Compiling and coordinating printed and electronic resources of PAM.
  3. Establish and renew licenses (where necessary), and maintain records for contracts.
  4. Maintain timely, accurate data of the printed and electronic resources in the relevant systems used to enable access to printed and electronic resources by library users and staff.
  5. Monitor and maintain access to the printed and electronic resources and perform routine link checking/resolving. Ensure prompt response to printed and electronic resource access problems reported by library users or staff.
  6. Coordinating the functions of PAM Committees or Sub-Committees the Management deems fit and as directed by the PAM Secretariat Management, including the following:
    1. Calling for meetings of the Committees.
    2. Attendance at meetings and taking notes.
    3. Preparation of Minutes and Reports.
    4. Taking follow-up actions on the Committees' instructions and decisions.
    5. All general correspondence of the Committees.
    6. Project Officer to any Sub-Committee appointed by the Committees
  7. To assist in PAM events and other activities if required.
  8. Administration work for PAM.
  9. Relief work for PAM Secretariat Management.
  10. Support in events for PAM.

and any other duties that may be assigned to you from time to time.

Requirement

  1. Bachelor of Information Management & Library Science.
  2. Familiar with KOHA, DSpace system & Wix application.
  3. Minimum of 3 years on cataloguing and processing library resources
