Executive Assistant

We are looking for an Executive Assistant who shall provide assistance to the Executive Secretary and high level Office Bearers within the Institute and who shall be entrusted with complex duties and sensitive information.

In addition to general administrative work, the Executive Assistant may be in charge of scheduling meetings, taking minutes during meetings, following up on decisions at the meetings, handling correspondence, and producing reports or presentations for their executive leadership.

The Executive Assistant shall also be in training to move up his/her career path as the Executive Secretary if the opportunity arises.

Executive Assistant duties and responsibilities of the job

The Executive Assistant shall ensure the smooth-running of the relevant Committees that he/she is handling. A standard Executive Assistant job description entails:

  • Organising meetings and booking meeting rooms;
  • Attending meetings of the relevant Committees, taking and writing minutes and following up with decisions taken at the meetings;
  • Producing reports and presentations;
  • Maintaining the current Standard Operating Procedures and filing system, and looking for ways to improve current systems;
  • Handling correspondence related to the Committee/s;
  • Carrying out seminars and training programmes from time to time,
  • Making travel arrangements and detailed travel itineraries from time to time;
  • Any other short term ad hoc duties from time to time.

Executive Assistant job qualifications and requirements

Aside from a high proficiency in computer skills, a diploma or degree holder in any field may apply for this post. An Architecture Diploma or Degree Part I or Part II with minimum of 4 years working experience is preferable andwill be given priority.

The Executive Assistant shall have a professional aptitude and is well-presented at all times. You will be dealing with colleagues, Office Bearers, members of the Council and the Institute, and external visitors on behalf of the Committee. You are also expected to display the following traits:

  • Ability to multitask and prioritise tasks;
  • Excellent time management skills;
  • Well-developed organisational skills;
  • Attention to detail;
  • Great verbal and written communication skills especially in English and Bahasa Malaysia;
  • Professional discretion.
